Data & Project Coordinator

The Data & Project Coordinator is an essential part of making that happen.

This role sits at the intersection of data, project management, client service, and nonprofit strategy. You will help our team and nonprofit partners turn information into insight, plans into action, and complex projects into organized, measurable progress.

You are someone who naturally sees what needs to happen next. You notice the details others may miss. You can look at a spreadsheet and understand the story behind the numbers. You can manage multiple deadlines without losing sight of the people and purpose behind the work. And when a project hits a roadblock, you don't wait for someone else to solve it. You help find the path forward.

This is a full-time, in-office position based at The Root Agency headquarters in Dunedin, Florida.

 What You'll Make Possible

Client Onboarding & Partnership

  • Welcome and orient new nonprofit partners to The Root Agency's methodology, systems, tools, and expectations.
  • Coordinate onboarding activities and ensure each client begins their partnership with clarity, confidence, and momentum.
  • Build trusted relationships with nonprofit partners and serve as a responsive, solutions-oriented point of coordination.
  • Anticipate client and team needs and proactively identify opportunities to improve the client experience.
  • Coordinate daily communication with nonprofit partners and internal team members through email, telephone, Slack, Zoom, and other platforms.
  • Facilitate meetings and trainings with professionalism, preparation, and confidence.
  • Keep clients and colleagues informed of project status, priorities, challenges, and deadlines.

Data, Research & Insight

  • Gather, organize, analyze, and present data that helps nonprofit leaders make informed fundraising and organizational decisions.
  • Conduct donor and prospect research to help fundraising teams build stronger pipelines and identify opportunities for meaningful engagement.
  • Pull and interpret reports from a variety of nonprofit CRM platforms.
  • Develop dashboards, reports, and other tools that turn complex information into clear, actionable insight.
  • Help nonprofit partners understand their data and how to use it.
  • Provide CRM training and support to help nonprofit teams use their systems more effectively.

Project Management & Delivery

  • Own project timelines, deliverables, deadlines, and follow-up for nonprofit partners.
  • Build and maintain project management systems, templates, workflows, and tracking tools.
  • Coordinate internal and external meetings, trainings, and project activities.
  • Identify potential project challenges early and work with the team to develop solutions.
  • Maintain organized, accurate, and accessible files and workflows for client deliverables.
  • Ensure work is completed on time and meets The Root Agency's standard of excellence.
  • Coordinate content, communications, and other client projects from concept through completion.

Learning & Program Support

  • Coordinate enrollment, participant information, and product/content input within The Root Agency's learning management system.
  • Support the development and delivery of The Root Agency's professional education programs, trainings, and resources.
  • Help ensure participants and clients have a seamless experience from enrollment through completion.

Estimated percentage of work time allocation

  • Preparing client work product 70% (includes research, data analysis, reporting, project development, writing & preparing client deliverables.)
  • Client meetings and communications 20%
  • Travel 10%

Are you the Right Fit?

  • 2-3+ years of similar experience with a bachelor’s degree in a relevant major is required. A combination of education and experience will be considered. Nonprofit development experience a plus.
  • Must be detail and results-oriented with an ability to work in a cross-functional, fast-paced, and continuously evolving hybrid environment with diverse teams and skill sets.
  • Exhibits excellent writing, communication, editing, and formatting skills.
  • Comfortable using Microsoft 365 (Word, Excel, PowerPoint), Zoom and Adobe Creative Suite
  • Demonstrable skills in Word: merge template functions and in Excel/Google Sheets: XLOOKUP, VLOOKUP, and Pivot Tables.
  • Experience pulling reports from a variety of CRM platforms: Salesforce, Raiser’s Edge NXT, Bloomerang, Donor Perfect, ParishSoft, etc.
  • Experience in managing program dashboards.
  • PMP and/or Six Sigma Certifications, a plus but not required
  • Ability to evaluate priorities and multi-task accordingly, while keeping others apprised of status with respect to firm due dates
